Overtime agreed on a call, never billed
A customer asks for two extra hours. The supervisor says yes. Nobody writes it anywhere that reaches the invoice, and the nurse still gets paid for it. You pay twice and bill once.
THE PROBLEM
None of these is a software problem on its own. They are one lifecycle that nobody can see end to end — so each gap is discovered after the money has gone.
A customer asks for two extra hours. The supervisor says yes. Nobody writes it anywhere that reaches the invoice, and the nurse still gets paid for it. You pay twice and bill once.
A nurse is booked for thirty days but needs a day off each week. The reliever is arranged verbally. Sometimes two people end up on the same job; sometimes nobody does and the customer calls.
A passport, a residence ID, a medical card or the company licence itself. The date was in a drawer, not a calendar. The nurse cannot work, the customer is uncovered, and there may be a penalty attached.
The service simply stops. No decision was made and no one chose to lose the customer — the end date just passed without anyone seeing it coming.
You are paying salaries and accommodation for staff nobody has placed, because who is free this week lives in one coordinator's head rather than on a screen anyone can read.
And in a WhatsApp group, and in one person's memory. When that person is on leave, the operation runs on guesswork.
01 — HOW IT WORKS
Each step produces the next. That is the whole idea — the roster is a consequence of the sale rather than a separate spreadsheet somebody maintains.
Capture the enquiry against a customer or a new lead, with the service, dates, hours and whether a reliever is needed.
Confirm the nurse from live availability. The full day-by-day roster is generated, week-offs already assigned to the reliever.
Drivers are dispatched by zone. Attendance marks itself from confirmed allocations, so only exceptions need a human.
The invoice comes off the allocation and the overtime register. The same overtime flows into the salary slip.
Expiring services surface for renewal. Every document that can stop the operation sits in one dated feed with an owner.
THE CENTRE OF GRAVITY
The allocation engine is the product. Everything else exists because the roster is right.
WHAT IS INSIDE
Enquiry capture, service and schedule, live availability, CV printing, and one-action conversion to a sales order.
Services, service types, nurse types and zones, with separate regular and reliever rates and derived per-day rates.
Day-by-day rostering with reliever cover, training double-cover, conflict detection, pending and compensating days.
Month and day grid across every nurse, colour-coded by state, with drill-through to the order, opportunity or leave.
Bulk marking by date, order or customer, plus automatic marking from confirmed allocations so only exceptions need touching.
Hours captured once per nurse and order, then used twice — raising the customer invoice and feeding the salary slip.
Zone-routed pick-up and drop-off boards built a day at a time, with drivers on leave flagged before the morning run.
Borrow nurses between entities with approval, linked orders, automatic purchase orders and consolidated settlement.
Contracts created from the order and kept in sync with assigned nurses, with expiring services renewed into linked orders.
Invoices from the order with billed status flowing back, plus monthly revenue, daily status and week-off allowance reports.
Job opening to offer to onboarding, with a stage board, per-stage logs and one-click enrolment as an employee.
Nurse profiles with category, skill tags and attachable CV, warning letters with print formats, air ticket entitlement and end-of-service reporting.
Every staff document and company licence in one dated feed, with urgency buckets, one-click renewal and an audit log.
For operators who house staff: request and approval, then a QR code and public PDF a security desk can verify without a login.
An operations home with today's allocations and quick actions, and an HR command centre with headcount, recruitment and payroll views.
THE STAFF APP
Most calls into a nursing office are the same five questions. Where am I tomorrow. How much leave do I have left. Where is my payslip. Has my claim been approved. Can I have permission to go out.
Staff answer those themselves on their phone. It installs from the browser — no app store, no approval queue, no separate build to maintain — and works on whatever handset they already own.
COMPLIANCE AND PAYROLL
Staff passports, residence IDs, ID cards, medical cards and employment contracts. Company commercial registration, trade licence, computer card, facility licence, education licence, civil defence, traffic licence and bank guarantee.
The wage-protection export currently produces the Qatar format. Other GCC formats are build work we will scope rather than something that ships today.
GROUPS AND MULTI-BRANCH
Groups move nurses between companies constantly, and it is usually settled informally and reconciled badly. Here it is a document.
Multi-company and multi-currency come from the ERPNext core, so a group structure does not need a second deployment or a second set of books.
BUILT ON OPEN FOUNDATIONS
CareOps is built on the Frappe Framework with ERPNext and Frappe HR underneath. The commercial and HR backbone is a mature, open, auditable ERP — so finance, HR and operations are one database rather than three systems reconciled monthly.
INTEGRATIONS
Split three ways deliberately, so nobody mistakes a roadmap item for something shipping.
ERPNext — customers, leads and opportunities, sales and purchase orders, invoicing, contracts, accounting, items and stock. Frappe HR — employees, attendance, leave, shifts, payroll, expense claims, advances, recruitment, onboarding and final settlement.
REST and RPC endpoints on every module, webhooks, scheduled jobs, email over SMTP and IMAP, print and PDF generation, push notifications, SSO and LDAP, calendar and contact sync, object storage and cloud backups, and payment gateways through ERPNext.
WhatsApp Business messaging, biometric device sync, SMS gateways, bank host-to-host connectors and BI tool connections. Each is genuinely buildable on this platform — none of it is included, and we will quote it rather than imply it.
02 — IMPLEMENTATION
A pilot branch first. Nobody should move an entire nursing operation onto new software in one weekend.
How you roster today, how week-offs are covered, how overtime is agreed, and which documents actually stop the operation.
Services, rate card, nurse categories, zones, document types and warning windows, print formats and approval steps.
Nurses, customers, services, rates, live bookings and open commitments, verified by your team before anyone relies on it.
One branch runs live while the rest carries on as before, so problems surface at a survivable scale.
Role-based sessions, staff onto the mobile app, then rollout with us on hand through the first payroll and the first month-end.
Indicative timeline is six to twelve weeks for a single-branch operator, longer for a multi-entity group or where several years of records have to come across. We give you a dated plan after discovery rather than a number now.
WHO IT IS FOR
Long bookings in private homes, where week-off cover and transport are the daily problem.
Staff placed on contract with client facilities, billed by day and by rate card.
Continuous placements where a gap in cover is not an option.
Supplying shifts into facilities that expect accurate attendance and clean invoicing.
Multi-entity groups supplying nursing staff alongside other contracted services.
Built for the GCC first — Qatar, the UAE, Saudi Arabia, Oman, Kuwait and Bahrain — with the vocabulary, payroll and document requirements that go with it.
QUESTIONS
Either. It deploys to a dedicated cloud tenancy, to a server in your own office, or to cloud infrastructure you own and control. Because it is built on an open framework rather than a closed product, the database is yours in every case — you can take a full backup at any time and move it elsewhere.
You do, and you can prove it. The system runs on an open-source core with a standard MariaDB database. There is no proprietary format holding your records hostage and no export request to raise with us. If you decide to leave, you leave with everything.
A great deal. Fields, forms, workflows, print layouts, approval steps and reports are configuration rather than code. Where you need genuine new logic — a rate rule nobody else has, an integration with a system specific to you — that is development work on the same platform, not a plugin fighting the product.
The platform supports Arabic including right-to-left layout, and print formats such as contracts, invoices and payslips can be produced bilingually. We set the document set up during implementation rather than shipping a fixed template.
It is a server-based system, so a branch with no connection cannot record transactions at that moment. To be straight about it: there is no offline mode that queues work locally and syncs later. Attendance and allocations are normally corrected the same day, and the automatic marking from confirmed allocations means the default state is already right — but if you operate somewhere with genuinely unreliable connectivity, raise it with us early so we scope it properly.
Spreadsheets are the normal starting point and they migrate reasonably well, because the data you need is usually already there: nurses, customers, services, rates and the current roster. We take masters and open commitments across, start with one branch as a pilot, and run the first month closely. Historic detail beyond opening positions is rarely worth migrating — most operators keep the old workbooks for reference and start clean.
Not from the software. There is no per-user licence fee, so putting every supervisor, coordinator and accountant on the system does not change what it costs. Practical limits come from server sizing, which we scale to your headcount and transaction volume.
No — it installs onto it. CareOps is built as an application on the same Frappe and ERPNext foundation, so your existing customers, items, accounts and employees stay where they are and the nursing operation is added on top. You keep one database, one login and one set of books.
That is the honest trade-off to discuss early. The value here comes from the roster, the invoice and the payroll being the same records, so running the accounts elsewhere reintroduces the reconciliation this is meant to remove. Some operators move accounting across as part of the project; others integrate and accept the seam. We will tell you which we think fits rather than pretend both are equal.
That is the risk worth taking seriously, and it is why the daily board and the booking console exist as purpose-built screens rather than generic forms. Supervisors work on one board rather than hunting through menus. Staff get a phone app for attendance, leave and payslips, which removes most of the reasons they would otherwise call the office.
Role by role, on your own configured system rather than a generic demo — coordinators on booking and allocation, supervisors on the daily board and dispatch, HR and finance on payroll, compliance and invoicing. Staff get the mobile app, which needs almost no training because it does five things.
An annual maintenance arrangement covering support, version upgrades, refresher training as your team changes and performance tuning as your data grows — the same arrangement as the rest of our ERPNext work. The people who configured your system are the ones who answer.

GET STARTED
Tell us roughly how many nurses you manage and how you roster today. We will walk one nurse through one booking end to end — enquiry, allocation, reliever cover, transport, attendance, overtime, invoice, payroll — because that single thread is the whole product.
CareOps is built and supported by Abrion Solutions in Doha. It runs a live multi-branch nursing operation end to end.
