How an ERPNext implementation actually runs, week by week

Five phases, what happens in each, and what we need from your team at every step.

Most ERP projects fail in predictable ways: scope that grows quietly, users who first see the system on go-live day, and data nobody verified. The process below exists to remove those three specifically.

Phase 1 — Discovery

We map your current processes, the documents you produce, and the reports your management actually uses. Not the ones in the procedure manual — the ones people open. This is where we find the spreadsheets doing load-bearing work.

Your input: time with the people who do the work, not only their managers.

Phase 2 — Solution design

Modules, workflows and any custom development are agreed and documented before anything is built. You get a dated plan. If something is out of scope, it is out of scope in writing, which protects both sides.

Phase 3 — Configuration and migration

The system is built, masters and opening balances are migrated, and everything is verified against source. Setup and installation is quick — a few days. Master data migration, customisation and bilingual print formats are the bulk of the elapsed time.

Your input: a named person in finance for chart-of-accounts decisions, and someone who knows the item list well enough to spot duplicates.

Phase 4 — Training

Role-based sessions, so the warehouse team learns the warehouse and the finance team learns finance. Training everyone on everything produces users who remember nothing.

Phase 5 — Go-live and support

We are on-site through the first month-end close, because that is when the questions that matter appear. After that, ongoing support under an annual maintenance contract.

Timeline

Four to ten weeks for most Qatar SMEs. A focused finance and inventory rollout can be inside a month. Multi-entity groups, heavy customisation or several years of history push it out — and we tell you that at design stage, not halfway through.
